This scale of platform is not the right fit for a small business processing a few hundred invoices a month. All three vendors' enterprise tiers assume dedicated IT or automation centre-of-excellence resource to build, monitor and fix bots when source systems change. Blue Prism does have its own native document processing product, Decipher IDP, which uses OCR and validation to digitise documents and is included in the product portfolio for customers on production or business-critical support tiers. Even so, some UK customers pair Blue Prism with a specialist third-party document AI partner instead. In the Connells Group deployment, Blue Prism digital workers monitor a dedicated accounts payable inbox, collect invoice attachments and hand them to the partner's document AI for classification and field extraction with confidence scores, before Blue Prism workers format the data, enrich it with supplier information and post it into the invoicing system. UiPath charges Document Understanding in Platform Units per page, for example 0.2 units per page through its Machine Learning Extractor, with the unit price itself only available from UiPath sales. Second, a Blue Prism deployment that pairs with a specialist document AI partner instead of Decipher IDP means two supplier contracts and two renewal dates to manage, not one. Third, bot maintenance is recurring, not one-off: expect it to run 15% to 25% of the original build cost every year, since a bot built against today's invoice template or accounting system screen breaks when that layout changes.
On VAT, if the contracting entity you sign with is a non-UK business supplying you an electronically supplied service, the reverse charge normally applies: your finance team self-accounts for the output VAT and can typically recover it as input tax, rather than the supplier charging VAT on the invoice. Confirm this in writing with each vendor's UK or EU contracting entity before assuming either treatment, because some suppliers do hold UK VAT registrations and charge it directly.

None of the three has a universal edge. UiPath's advantage for this specific use case is that document extraction and bot orchestration come from one vendor with a UK public-sector reference already live. Automation Anywhere's own claimed straight-through processing and efficiency figures are strong, but a UK finance operations director has less independently verified UK evidence to check them against than with the other two. Blue Prism's Connells Group result is the most detailed and most clearly measured of the three, in pounds and hours, though that particular deployment used a second vendor relationship for document AI rather than Blue Prism's own Decipher IDP.

The equivalent lesson from Connells Group's Blue Prism deployment is quantitative rather than quoted: it shows a finance team can move from a 450-invoice pilot to 8,800 invoices a month without adding headcount, which is the kind of scaling evidence worth asking every shortlisted vendor to demonstrate with a reference of comparable size to your own invoice volume, before signing on the strength of a demo.
